- Answering and redirecting incoming calls to the appropriate departments or personnel
- Notifying relevant employees of visitor arrivals and ensuring they receive proper assistance
- Serving as a point of contact for inquiries from clients, vendors and employees, providing accurate information and support
- Coordinating courier services and handling incoming and outgoing mail/packages
- Handling inquiries and requests promptly and professionally, ensuring exceptional customer service
- Communicating effectively with internal teams to relay messages and facilitate efficient workflow
- Maintaining a tidy and organized reception area
- Assisting with various administrative tasks such as data entry, filing, sorting and distributing mail, scheduling appointments and managing office supplies
- Monitoring building access, signing in visitors and ensuring protocols are followed
- Providing administrative support to other departments as needed
- Excellent interpersonal and communication skills, with a friendly and professional manner
- Strong organizational and multitasking abilities
- Meticulous attention to detail
- Ability to remain calm and composed under pressure
- Capacity to handle challenging situations with tact and diplomacy
- Prior experience in a receptionist or customer service role (preferred)
- Basic skills in MS Office (Word, Excel, Outlook)
- Ability to handle multiple tasks simultaneously and prioritize effectively
- Good verbal and written communication skills in English and Maltese
