Job Description
We are seeking a detail-oriented and compliance-driven Inventory & Documentation Officer to manage all import and export documentation for products sourced by our International Business & Retail Unit, part of a Salvo Grima’s diversified Group of companies distributing internationally renowned brands within the FMCG industry, also operating a line of travel retail shops, with a focus on excise goods such as tobacco and alcohol. This role ensures the accurate preparation and submission of customs, excise, and shipping documents in full alignment with local and international trade regulations. The ideal candidate: Proven experience in logistics, preferably within a high-compliance environment (excise or bonded goods preferred). Proficiency in Microsoft Office and ERP systems. Strong attention to detail and organisational skills. Effective communication skills in both English and Maltese languages, with the ability to work confidently across departments and with external stakeholders. Familiarity with Incoterms, Harmonised System (HS) codes, and EU excise systems. Duties include: Prepare, review, and submit all documentation related to the import and export of goods, including: Import declarations and customs clearance Certificates of origin Packing lists Bills of lading / Air Waybills Excise Movement and Control System (EMCS) documentation Export declarations and clearance forms Monthly customs and excise reports. Ensure strict compliance with excise duty regulations and international trade laws. Liaise with customs authorities, excise departments, freight forwarders, and logistics partners to facilitate timely and accurate documentation. Co-ordinate with internal purchasing, sales, and logistics teams to gather and verify shipment and product information. Resolve documentation-related issues that may impact customs or excise clearance and ensure the prompt release of shipments.
